What personal information Swift collects, why, who processes it, and the choices you have.

About this policy
Swift is a customer support and store operations platform run by [COMPANY NAME] ("we", "us"). This policy explains how we handle personal information when you use the Swift web app, the Swift mobile app, an in-store Swift kiosk, or our website.
We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).
Who is responsible for your information
Swift is used by businesses ("workspaces"). Each workspace decides what it records in Swift, such as tickets, customer details and chat messages. For that workspace content, the business is the responsible party and we process it on its behalf, under its instructions.
For your Swift account itself, for our website and for the contact form, we are the responsible party.
If you are a customer of a business that uses Swift and have a question about your details in its records, contact that business first. We will help it respond.
Information we collect
Account information:
- Your name, email address and password (passwords are handled by our sign-in provider and are never visible to us).
- Optional profile details: phone number, job title and profile photo.
- Your role, store and department assignments, permissions and app preferences.
Workspace content you or your teammates add:
- Tickets, notes, comments and attachments, including the customer name, email address and phone number recorded on a ticket.
- Chat messages, reactions and shared files.
- Announcements, inventory, supplier, order, transfer and return records.
In-store kiosk submissions: the request, any contact details and photos a customer chooses to provide.
Device and usage information:
- Push notification tokens and the device platform (iOS or Android).
- A device label and last-active time for each signed-in session.
- Online status and typing indicators while you use chat.
- Sign-in records kept by our authentication provider, such as sign-in times and IP addresses.
- Crash and error reports from the apps: device or browser type, operating system and app version, the page or screen and the technical details of the failure, and your account ID (not your name or email).
Contact form: your name, email address and message.
We do not use advertising trackers or product analytics, and we do not sell personal information.
How we use it
- To provide Swift: signing you in, showing your workspace, routing and assigning tickets, delivering chat messages and notifications.
- To keep accounts and workspaces secure: permission checks, session management, abuse prevention and audit records of administrative actions.
- To find and fix crashes and errors in the apps.
- To reply when you contact us.
- To meet legal obligations.
We rely on performing our agreement with you or your workspace, our legitimate interest in running a secure service, and, where required, your consent. You can withdraw consent at any time, for example by turning off notifications.
Where it is stored
Swift's main database runs in Google Cloud's Johannesburg region in South Africa. Real-time chat status is processed in Google's Belgium region, and some Google services, such as sign-in and push delivery, may process information in other countries, including the United States.
Where information leaves South Africa, we rely on our providers' contractual and technical safeguards that give protection comparable to POPIA.
How long we keep it
- Account information: until you delete your account or your workspace removes you.
- Workspace content: for as long as the workspace keeps it. When a workspace is deleted, its content is deleted with it.
- Session records: inactive sessions stop being shown after 30 days.
- Team invitations: expire after 7 days.
- Contact form messages: as long as needed to deal with your enquiry.
Deleting your account
You can delete your account at any time in Settings → Security, in the web or mobile app. Deletion is immediate and permanent. It removes your profile, photo, sessions, notifications, registered devices and sign-in, and removes you from group chats. Open tickets assigned to you are returned to the unassigned queue.
Tickets, comments and messages you wrote stay with your workspace, because they form part of its records. Direct conversations remain visible to the other person and show you as "Deleted user".
If you own a workspace with other members, transfer ownership first. If you are the only member, deleting your account deletes the workspace too.
If you cannot sign in, email [PRIVACY EMAIL] and we will delete your account after confirming it belongs to you.
Your rights
Under POPIA you can ask to access the personal information we hold about you, have it corrected or deleted, and object to its processing. You can update most profile details yourself in Settings.
To make a request, email [PRIVACY EMAIL]. Our Information Officer is [INFORMATION OFFICER NAME].
If you are not satisfied with our response, you can complain to the Information Regulator (South Africa) at inforegulator.org.za.
Security
Information is encrypted in transit and at rest by our hosting provider. Access is limited by sign-in, workspace membership, role-based permissions and server-side security rules. No system is perfectly secure; if a breach affects your information we will notify you and the Information Regulator as POPIA requires.
Children
Swift is a workplace tool and is not intended for anyone under 18. We do not knowingly collect information from children.
Changes and contact
We will update this policy when our practices change and show the new date at the top. For significant changes we will let you know in the app.
